We all know that not all workdays should be office days.

When you must create and deliver independent work on a specific task or project, staying at home or working remotely wherever you can focus on the job to complete it efficiently might be better.

But other times, more often, as part of a team, you need to brainstorm, collaborate and sync with others to progress. Being in the same place at the same time has proven to increase productivity and performance.

The Challenges of: When? Where? And with Whom? are what we aim to solve with our newest exciting feature we added to the broad Collaboration Boosters set - Suggested Days.

Designed to help employees plan their office time more efficiently, the feature highlights various days on the Schedule Page to make it easier for anyone to decide when to come to the office.

They highlight three types of days:

  • Shared Days
    They are based on invites that employees can send to each other.
    When someone has invited you to join them in the office for a specific day - the relevant tag will appear on top of this day, and if they have added a custom message to the invite, it will be displayed there too.

  • Required Days
    They are based on the existing workplace policies that you should comply with. The policies might be defined on a company or team level. Suggested Days will surface these days in the calendar view, making it easier to click under and quickly book a desk for that day.

  • Highlight Days
    They are based on an algorithm that takes into consideration the following:
    - Favorite colleagues - How many will be on site for that day?
    - Onsite Meetings - Do you have such, and how many?

Currently, Suggested Days are visible in two places:

  • On the Schedule page in the Employee Portal
    (also visible on the web and through Microsoft Teams integration)

  • In Microsoft Teams Chatbot Weekly Notifications
    which are coming at the end of every week and suggest planning your time ahead by surfacing at least 2 suggested days based on office occupancy, onsite meetings, your favorite colleagues, and invites.

  • Help people easily comply with Workplace Policies

Organisations that do not have enabled the Schedule Page from the Admin Portal cannot benefit from this feature. If, for any reason, the Schedule page is excluded from your current menu, you can go to Admin Portal > Settings > Employee Apps > Apps Pages > Custom Pages and add it.
